 User manual Copy a collection to DataverseNL 

Introduction

This user manual will guide you through the process of copying an entire data collection or parts of a data collection to DataverseNL (Open Access Repository).

This self-service feature will take care of automatically copying your (meta)data to a new created data collection in DataverseNL.

Prerequisites

In order to use the self-service "Copy to external repository" feature, you need to make sure that the feature is enabled on the parent project.

  • Go to your collection details page (e.g https://mdr.datahubmaastricht.nl/access/projects/P000000001/C000000001/).
  • Look for the "Data migrations" section and check if the button "Copy to external repository" is available on the page.

  • If it doesn't appear, it means that the feature is not enabled for your project. There are two ways to enable it:

    • If you are a data steward for this project, you can enable it yourself by following these steps:

      • Go to the project details page (e.g. https://mdr.datahubmaastricht.nl/access/projects/P000000001)

      • Click on the pencil icon at "Copy to external repository (DataverseNL)"

      • A pop up window opens where you need to choose "Enabled"

      • Press "Confirm"

      • All collections in this project are now eligible to be exported to an Open Access repository.

    • In all other cases you need to contact your data steward to enable it for you. To find out who your data steward is:


General conditions


The end result will be:

  • a data collection findable in an Open Access repository.
  • your (meta)data are copied in the new data collection created in DataverseNL.
  • a confirmation email sent to the depositor when the process is successful.
  • a request for review sent to the UM Library Data Curators: to curate your data collection and then publish it.

Instructions

If you meet the requirements listed above, you can begin copying your existing collection from the DataHub infrastructure to DataverseNL.

Step 1 - Open MDR

Point your browser to https://mdr.datahubmaastricht.nl/ 


Use the menu on the left side to login with your UM- or MUMC+ credentials.




Step 2 - Start Copy

Click the Access data item to expand the menu at the left side and click Projects.















This will display the list of projects that are currently accessible by you. 
Then click on the Project ID (e.g P000000001) that contains the collection you want to copy.














This will display the list of collections currently present in the selected project.
Click on the collection ID (e.g C000000001) you would like to copy.













This will display the collection details page with a (meta)data overview and a listing of files and folders.





In the Data migrations section, you can click on Start copying to DataverseNL.




















Step 3 - Fill the form

After clicking on Start copying to DataverseNL in step 2, a page is displayed where you can configure the data transfer job.
There are various fields to fill out. The section below explains the values to enter in the various fields.



Select the Dataverse

Select the dataverse (i.e. the endpoint folder) to which you want to copy the collection at the Maastricht University dataverse in DataverseNL.

If your own department is not listed here, it means that DataHub & the University Library (UB) do not have an active Data Curator for this department registered to curate and publish your newly created data set.
Please  send us an email at datahub@maastrichtuniversity.nl to work this out together with you.

The default dataverse is DataHub if nothing has been selected


What do your want to copy?

Two options:

  1. Metadata → Only copy all the metadata available at DataHub to DataverseNL
  2. Metadata+Data → Copy all the metadata and copy the selected or all the data files to DataverseNL
    • If selected, two new selection options become available. They will be described below


Do you want to put a restriction on your data?

This will only restrict your data files to be accessible from non authorised persons. It does not affect the accessibility of your metadata.


Select the files to copy

Here you select the file(s) that you want to copy to the repository.

  • If no file is selected, the entire collection will be copied by default
  • Dataverse doesn't allow the following special characters in the filename:
    / : * ? \" < > | ; #
    They will be replaced by an underscore ('_').
  • A couple of DataverseNL FAQ:
    • "a file can be 10 GB max"
    • "When you create a dataset, the Creative Commons Zero Waiver (CC0) is automatically selected. It is possible to adjust the Terms of Use. Go the ‘Terms’ tab on your dataset page and click ‘Edit Terms requirements"


Check the box where you agree to the Terms and Conditions and UM privacy-regulations and press Start copy to initiate the process.












Step 4 - Data migration status

By pressing Start copy in step 3, you return to the collection details page and will see a new card containing the information of your copy.

What happens now is that your data collection is being copied from the Maastricht Data Repository to DataverseNL.


Your will also see that the status of your data set changes sequentially to:

  • in-queue-for-export
  • create-exporter
  • create-dataset
  • prepare-collection
  • zip-collection
  • upload-zipped-collection
  • validate-upload
  • validate-checksum
  • finalize
  • exported

Step 5 - Email confirmation & Data curation

When your copy is successful, you will receive an email confirmation that summarizes what happened and what the next step will be concerning the (meta)data curation.



The data curator will receive a notification about your copy and will go to DataverseNL to review your data collection.
